Frequently Asked Questions

Preserving family treasures, organizational archives, and historic places can feel overwhelming, but you do not need archival expertise to begin. Explore our frequently asked questions to learn how Cultura Archive and Heritage Services cares for your materials, respects your privacy, and delivers clear, accessible digital collections.

Answers before you begin

We work closely with families, historical societies, museums, libraries, nonprofits, and community organizations across Guerneville and beyond. Here are answers to common questions about our archival process, handling practices, privacy standards, and deliverables.

What kinds of photographs, documents, albums, and records can Cultura digitize?

Cultura works with photographs, letters, certificates, albums, personal papers, meeting minutes, organizational records, and born-digital files. After an initial review, we recommend a project-specific approach. Historic objects, structures, sites, and landscapes can also be documented through photography, 360-degree capture, photogrammetry, or LiDAR when appropriate.

How are project scope, estimates, and pricing determined?

Every project begins with a consultation to discuss the collection, goals, privacy needs, and desired deliverables. Cultura then provides a written scope and estimate before work begins. Pricing depends on the number and condition of materials, the work requested, research needs, and production choices. Services begin only after the scope is approved and required forms are signed.

Will I keep my original materials, and how does Cultura protect my privacy?

Yes. Originals are inventoried, handled carefully, and returned at project completion. You decide what is included, what remains private, and whether any material may be used in a portfolio or testimonial. Public use requires separate written permission, and the project scope and release forms document your choices.

How will my digital files be organized and delivered?

Files are named consistently and organized in a clear folder structure, with descriptive metadata included as agreed in the project scope. Delivery format and storage media are chosen during planning. Cultura can also provide practical backup and preservation recommendations so the collection remains understandable and usable.

How does the preservation process work from start to finish?

The process follows six steps: 1) a consultation to understand the collection, goals, and privacy needs; 2) a written scope and estimate; 3) careful intake, inventory, and required releases; 4) scanning, photography, recording, or field documentation with consistent file names and metadata; 5) quality control and any agreed client review; and 6) return of originals with organized digital files and practical preservation guidance.

What is included in Cultura Life Stories, and where are services available?

Life Stories can include private guided interviews, a written chapter or extended narrative, professionally narrated audio, transcripts, selected photograph and document integration, and family-history book preparation, depending on the package. Packages are $125, $495, and $950+. Cultura is based in Guerneville and serves Sonoma County; travel or remote arrangements are discussed case by case.

Who benefits most from your consulting and archive services?

Cultura works with individuals and families, Masonic lodges, historical societies, museums, libraries, nonprofits, small businesses with legacy records, researchers, and stewards of historic places. Projects are tailored to the collection and can begin with a single Life Story chapter, a small group of materials, or an initial archive assessment.

What if my materials are very fragile or disorganized?

You do not need to organize the collection before contacting Cultura. Please avoid cleaning, taping, unbinding, or rearranging fragile materials before the consultation. Cultura reviews condition first and chooses a careful, non-destructive approach when feasible. If an item needs professional conservation or equipment beyond the project scope, we will recommend an appropriate next step before work begins.
